The opportunity
Spark is seeking a driven and proactive Office & People Operations Coordinator to join our Vancouver team. This multifaceted position will be the heartbeat of our workplace, where you will span across office operations, employee experience, people/talent initiatives, and cross-functional support. You will work closely with the leadership team, reporting directly to the Head of Finance and Operations. This role requires attention to detail, demonstrating a high degree of organization, time management and initiative, with excellent interpersonal and communication skills.
The Office & People Operations Coordinator position has significant growth opportunities central to people operations, employee experience and talent development.
What you’ll be doing
Office Coordination
  • Manage office supplies, equipment and snack/drink inventory, order supplies as needed, and ensure adequate levels are maintained
  • Coordinate office maintenance, repairs, and updates, including liaising with building management, cleaning staff, and service vendors
  • Maintain the cleanliness, organization, and functionality of the office, including the kitchen, common areas, and meeting rooms
  • Assist in planning and coordinating travel arrangements, company events and third-party events being held in our space
  • Support cross-functional teams with ad hoc requests and special projects as needed
  • Track, report, and recommend improvements for policies and processes, ensuring they are in compliance and up to date
  • Reconcile company credit cards and prepare cheque deposits on a timely basis
People Operations
  • Assist in the delivery and management of employee communications helping to align people with the culture and the business strategy
  • Facilitate the performance management process, providing support to both employees and management
  • Develop and execute employee engagement initiatives, events and activities to promote a positive work culture
  • Lead the onboarding and offboarding process for new and departing employees
  • Coordinate and support hiring managers with full-cycle recruitment and selection processes
  • Ensure legal compliance by monitoring and implementing applicable human resource legislative requirements; conducting investigations; maintaining records
What you’ll need
  • Diploma, Bachelor’s degree or equivalent
  • Certification in HR (e.g., SHRM-CP, PHR) is a plus
  • Strong verbal and written communication
  • Ability to work effectively within a dynamic, team-focused environment that operates at a rapid pace
  • Proficiency with the Google Office suite and an aptitude for leveraging technology to gain efficiencies and improve processes
  • Working knowledge of employment laws and regulations

What we offer
Salary Range
The base pay range for this position is between CA$ 50,000 and CA$ 60,000 per year for British-Columbia-based roles.
The final compensation offer will reflect our consideration of factors such as the candidate's relevant qualifications, experience, knowledge and skills.
